Our client is one of the leading property specialist companies in Bournemouth and is looking to expand their existing team.
As a Personal Assistant you will report directly to the Property Manager, managing all day to day administration, coordination and support for the manager.
Key Tasks and Responsibilities Taking repairs calls and arranging for engineer/contractor to attend the property.
Raising work orders and quotation requests for contractors.
Diary Management for the Property Manager in respect of raising works orders and quotation requests, daily appointments, insurance renewal dates, Insurance claims, property visits, meetings, major works consultations and cyclical maintenance.
Typing correspondence Insurance Renewals in respect of Buildings, Directors & Officers and Engineering Handling Insurance Claims from start to finish including arranging search & trace, liaising with the Leaseholder, insurance company and loss adjuster where necessary, arranging quotes and repairs, ensuring contractors are carrying out the works quickly and efficiently.
Sending year end accounts to Directors.
Conference room booking for Annual General Meetings.
Answering Reception overflow calls Ad-hoc administration support Any other duties as and when requested by the Property Manager Skills and Experience required: Exceptional administration experience covering a background of 2 years Proven ability to manage a varied and demanding workload, prioritising your own deadlines.
Previous experience liaising with external personnel, providing a excellent level of customer service at all times.
Proven ability to work on your own initiative, to multi-task and be proactive Strong typing skills with a confident knowledge of both Word and Excel.
Able to create comprehensive correspondence from scratch.
Good telephone manner Previous experience liaising with senior personnel is also essential.
