Do you have good Office Management experience with a PA and Accounts background? Live locally to Guildford?

An experienced Office Manager with Accounts and PA background too, is required for a small well-established software business on the edge of Guildford (not commutable from London).

What will the Office Manager be doing?
This is a really interesting hybrid role encompassing managing office facilities as well as HAS, company benefits, customer facing, PA to Directors and some finance. If you like juggling a varied role, this could be for you:

  • Manage all company staff benefits, insurance policies, and key worker policies
  • Maintain asset register lists.
  • Manage the office facilities for the company such as building works, cleaning, mobile contracts, alarm maintenance, general office repairs, ordering of office furniture, supplies and equipment.
  • Manage Health & Safety, including preparation of risk assessments, Fire Policy & extinguisher maintenance, managing COSH data sheets, H&S posters, Covid testing equipment, sanitising stands, and Covid signage.
  • Administer all recruitment needs of the company, book interviews into Directors diaries, liaise with recruitment company
  • Maintain electronic diaries of the Directors and the support team.
  • Arrange travel/accommodation including flights/car hire.
  • Screen all incoming telephone calls, welcome visitors, produce correspondence.
  • Organise staff events and Trade Show exhibitions.
  • Run reports on debtors and manage credit control.
  • Manage customer contracts, T&C's, update customer accounts on database.
  • Manage incoming calls for support, ensuring records kept, and charges applied.
  • Manage Job Sheets, setting up new clients,
  • Create invoices, set up payments with clients.
  • Create direct debit files within the software database

What does the Office Manager need?

  • Previous management of facilities
  • Ideally from a customer facing background
  • Some credit control / finance experience
  • Experience of working at Director level
  • Strong MS Office skills

What is the package for the Office Manager?

  • Salary £30,000 - £35,000 + Discretionary Bonus
